# Limits, access and privacy

> How Lena Agent’s daily allowance works, what to do if your school doesn’t have it yet, what happens to what you send, and what to do when something goes wrong.

Each teacher can use Lena Agent up to a daily allowance. This page covers the
allowance, how a school gets the agent, how your data is handled, and what to do
when something goes wrong.

## Your daily allowance

Each teacher has a share of the agent to use each day. The ring under the
message box shows how much of today's share you've used, as a percentage. Choose it to see
"Agent use today": how much is used and left, and when it resets.

* **Bigger tasks use more.** Making a quiz or setting up a course uses more than
  a quick question.
* **It resets once a day.** Choose the ring to see when, on your own clock.
* **At 80% you'll see "You're running low."** Save what's left for the tasks
  that matter.
* **When it's used up**, the message box shows "You've reached today's agent
limit. It resets at …". Your draft stays in the box, ready to send after the
  reset.
* **Suggest with AI** in the rubric grading form has its own allowance, separate
  from the agent's.
* **The [daily brief](https://support.lena.africa/agent/daily-brief.md) is free.** Only the chats its buttons
  start count.

## When the agent is paused

Sometimes the agent is paused for everyone. Your chats are safe, and the message
box keeps your draft.

* **Until a set time.** "The agent is paused to stay within Lena's AI budget
for the month. It's back …". It comes back at the time shown. A pause doesn't
  use any of your allowance.
* **While Lena's team fixes a problem.** "The agent is paused while Lena's team
fixes a problem. Your chats are safe. Try again later."

## If your school doesn't have it yet

Lena's team switches Lena Agent on for a school. Until then, **Agent** in the
sidebar and the AI buttons in the app show a lock, with the tooltip "Not enabled
for your school".

**1. Open the locked agent**

Choose **Agent** (or any locked AI button). You see "Lena Agent isn't on for your school" and "Lena Agent does the
routine work in your courses, and you check it."

**2. See what it does**

Choose **Learn more** for a list of what it can do for your school.

**3. Ask for it**

Choose **Request access**. The screen then says "Requested on …. We'll be in touch." One request covers your whole
school.

When Lena's team switches it on, your school's owner and teachers get an email,
and the app says "Lena Agent is on for your school now." with **Open Lena
Agent**.

If you'd rather not see the locked agent at all, tick **Don't show this again**.
To bring it back, turn on **Lena Agent suggestions** in Settings →
**Preferences**. School leaders: see
[Lena Agent for your school](https://support.lena.africa/schools/lena-agent.md).

## Privacy

* **What you send isn't used to train AI.** Lena only uses AI services that
don't keep a copy of your requests or learn from them.
* **It sees what you can see.** The agent works as you, in the school you have
open. It reaches only the courses and records you could open yourself.
* **Your chats are yours.** They're saved to your account so they follow you to
other devices, and only you can open them. Deleting a chat removes it
everywhere straight away. A chat you haven't used for six months is deleted.
* **Lena's records leave out what you wrote.** Lena keeps a record of how the
agent is used, such as which steps ran and whether they worked. It never
includes what you or the agent wrote, and it doesn't name you.
* **Ratings are just ratings.** **Good response** and **Bad response** send
Lena's team the rating only, not your chat.

## Offline

You can type to the agent with no connection. Your message waits on your device, under "Not sent yet. It will go
when you're back online.", and goes when you reconnect, in the order you wrote. The agent only works once it's sent.

Approvals need a connection. If you approved a card while offline, nothing ran: the agent asks again when you're
back.

## Troubleshooting

| What happens | What to do |
| - | - |
| "Your session expired. Sign in again to continue." | Sign in again. Your chat is still there. |
| "Couldn't reach the agent. Check your connection and try again." | Check your internet connection, then send again. |
| "Not sent yet. Still trying to reach the agent." | You're online but the agent isn't answering. Wait: Lena keeps trying. |
| "Couldn't send this message." under a message | Choose **Try again**, or **Remove** to drop it. |
| "The agent is still answering in this chat." | Wait for the reply, or choose **Stop**, before you send another message. |
| It says it's busy, or to try again later. | Wait a minute, then send again. |
| It stopped partway, took too long, or cut its answer off. | Ask for less at once, or split the request in two. |
| "This chat has grown too long for the agent to read." | Choose **New chat** and say briefly what you were doing. |
| It won't answer one request. | Put it another way. |
| "This reply broke off before it finished." | Ask the agent to check what it did, then carry on. |
| "The agent couldn't finish this one." | Choose **Retry**, or ask in another way. |
| "The AI agent isn't available. Your role on your courses doesn't include it." | Your course role doesn't include the agent. If that looks wrong, ask the course's owner. |
